This policy explains how 676 Competitions collects, uses and protects your personal data when you use this website and enter our competitions. The data controller is 676 Merchandise Limited (trading as 676 Competitions), registered in England and Wales under company number 16147704, with its registered office at 82 Forest Road, Kirkby-in-Ashfield, Nottingham, England, NG17 9HD.

Our services are for adults only: you must be 18 or over to hold an account, and we do not knowingly collect data from anyone under 18. If we discover an account belongs to someone under 18 we will close it and delete the associated data.

Depending on how you use the site, we collect:

  • Account details — your name, email address, date of birth, phone number, postal address and password (stored hashed, never in plain text);
  • Identity verification details — copies of photographic ID and proof of address, where we need to verify age or identity before releasing a prize;
  • Entry and transaction records — the competitions you enter, your ticket numbers, orders, payments, refunds, wallet balance and any prizes won;
  • Payment details — card payments are handled by our payment provider; we never see or store your full card number;
  • Communications — emails and messages you send us, and your marketing preferences;
  • Technical data — IP address, device and browser information, and data collected by cookies (see our Cookie Policy).

🍪 3. How We Use Your Data

We use your data only where the law allows us to:

  • To run the service (performance of our contract with you) — creating and managing your account, processing entries and payments, allocating tickets, running draws, notifying winners and delivering prizes;
  • To meet our legal obligations — age verification, keeping accounting and tax records, and responding to lawful requests from authorities;
  • Our legitimate interests — preventing fraud and duplicate accounts, keeping the site secure, publishing entry lists so draws are verifiable, and improving how the site works;
  • With your consent — sending you marketing emails and SMS about new competitions and offers, and setting non-essential cookies. You can withdraw consent at any time.

📧 4. Sharing Your Data

We never sell your personal data. We share it only with service providers who help us run the site, and only what they need:

  • Payment processing — Cashflows processes card payments on our behalf;
  • Email and SMS — Klaviyo handles our email communications, and our SMS provider delivers text notifications;
  • Advertising and analytics — with your consent, tools such as Meta (Facebook) advertising services measure our marketing;
  • Reviews — if you leave a review, it is handled by Trustpilot under their own terms;
  • Hosting and infrastructure — the providers that host this website, our database and our backups;
  • Regulators and law enforcement — where we are legally required to do so.

Where a provider processes data outside the UK, we make sure appropriate safeguards required by UK data protection law are in place.

👤 5. Entry Lists & Winner Publicity

To keep our draws transparent and verifiable, we publish an entry list for every competition showing ticket numbers and entrant display names, and we announce winners on our website and social media. We do this on the basis of our legitimate interest in running provably fair competitions. If you win, we may invite you to take part in additional publicity, but that is always voluntary.

🛡️ 6. How Long We Keep Your Data

We keep your data for as long as you hold an account with us. After an account is closed, we keep transaction, entry and winner records for up to 6 years, as required for tax, accounting and legal purposes, and to defend legal claims. Identity verification documents are deleted once verification is complete unless we are required to keep them. Data that is no longer needed is securely deleted or anonymised.

Under UK GDPR you have the right to:

  • access a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased, where there is no overriding reason for us to keep it;
  • restrict or object to our processing of your data;
  • receive your data in a portable format; and
  • withdraw any consent you have given, at any time.
